Duties and Responsibilities of the Freshman Program Coordination Office:
- Prepares and disseminates the official class schedule for all freshman courses each semester, ensuring it is conflict-free, resource-efficient, and communicated clearly to students and faculty.
- Systematically monitors classroom activities (attendance, faculty punctuality, resource availability) to ensure the integrity and smooth delivery of the freshman academic program.
- Identifies and reports bottlenecks of effective administration of the program for institutional resolution.
- Serves as the central office for disseminating exam protocols, scheduling venues, overseeing exam administration to prevent malpractice, and formally reporting any irregularities to the concerned offices (e.g. dean, APD, MR or AVP) for investigation and corrective action.
- Designs and coordinates comprehensive orientation programs to inform and acclimate new students (freshman) to university rules, academic regulations, available support services, and overall campus life.
- Provides first-line advice and counseling to freshman students encountering academic, procedural, or adjustment difficulties.
- Facilitates the academic placement process (e.g., major/study area selection) by organizing information sessions, managing application timelines, and ensuring students make informed decisions in accordance with faculty and institutional guidelines.
- Proactively oversees the classrooms, labs, and other facilities allocated for the freshman program.
- Conducts regular assessments and submits formal recommendations to concerned colleges and/or AVP for improvements to ensure a conducive learning environment.
- Acts as a liaison and guides for students to resolve administrative challenges related to student ID cards, exam complications, and other critical academic documentation, directing them to the concerned office and procedures.
