Overview
The Property Administration Executive is responsible for managing and safeguarding the movable and immovable property assets of Hawassa University. The role ensures proper registration, utilization, maintenance, movement, disposal, and accountability of all university property in accordance with Ethiopian public property administration regulations and the university’s internal policies. The Executive supports efficient resource management and contributes to transparency, audit readiness, and operational continuity across the university.
Key Roles and Responsibilities
- Manage centralized inventory of all university property; ensure accurate tagging, classification, documentation and database updates.
- Coordinate periodic physical inspections and reconciliations of assets across colleges, departments and campuses.
- Ensure compliance with government property administration directives, audit standards and internal university procedures.
- Oversee asset transfer processes, property handover documentation, and asset movement approvals.
- Initiate and coordinate maintenance, repair, and replacement activities; liaise with maintenance units and suppliers.
- Support planning and allocation of space, equipment and furniture based on university needs.
- Identify obsolete, damaged or surplus property; prepare documentation for disposal, auction or reallocation according to regulations.
- Prepare regular asset reports, statistics and audit-ready records for management and oversight bodies.
- Provide guidance and training to departmental property custodians on proper record-keeping and accountability practices.
- Ensure asset security measures are applied—locks, storage, tracking, and risk mitigation where necessary.
